An automation system that prepares and files recurring veterinary import permit applications on a government portal, checks every field before submitting, tracks status and returns granted permits to the company's own system.

The challenge
Staff prepared and submitted the same kinds of import permit applications to the Ministry of Agriculture's online portal again and again, copying data that already existed in the company's internal shipping system. Every application meant manual typing, waiting and checking the portal for a result.

What we built
We sync purchase-order and permit-history data from the company's SQL Server system into a cloud PostgreSQL database. Operators build a draft from past permits for the same vendor and goods, and a browser agent fills the portal form. Every field is read back from the portal and compared before anything is submitted, and submitting needs two separate switches to be on. A scheduler checks the portal for status changes; when a permit is delivered, its PDF is downloaded and returned to the internal system so it appears on the normal screens. A dashboard shows every filing, its fields, status, errors and screenshots, and the team gets email alerts for new problems. AI is used where it is reliable, such as reading historical documents; the form filling itself is deterministic because AI form filling proved too inconsistent in testing.
